On our recent webinar, Numbers that Matter: The Power of Business Intelligence in Education, Jack Bay, Chief Operations Officer of District 49, a decentralized district in Peyton, CO serving 19,000 students, shared how he is using SchoolDude's business intelligence, including his Key Performance Indicators (KPIs), dashboards, and metrics to improve his department and provided a 3-step guide for other institutions to follow suit.
According to Jack, “KPIs have become the fabric of our work. Nearly daily, we meet with team members to review our KPIs and determine our focus.” For example, Jack’s operations team has a goal to get all work orders complete within 1 week to make sure instruction continues seamlessly. “KPIs help us track progress toward that goal,” said Jack.
Jack’s ultimate goal is to be the best in all areas, including operations. They are already a campus champion, or in the top 20% of institutions nationwide in facilities and operations. “We continually want to improve and become a peak performer –in the top 10% of all institutions. We grade ourselves like students - above a 90% is an A,” said Jack.
They measure themselves against districts nationally, regionally and, most importantly, locally. KPIs create transparency in performance and enables District 49 to stack themselves up against nearby districts.
Here are 3 tips from Jack to bring KPIs into your daily work:
- Make sure you have an online platform for facilities, IT and operations management that has robust reporting capabilities. - Start small and pick a few metrics important to you to begin tracking and seeing your trends over time in those areas. District 49 started with labor hours to show if they were on task and allocating the team most appropriately.
- Last, stack yourself up against peers using those decided on metrics, with a business intelligence tool. As you get more sophisticated, add more metrics to track and benchmark. Jack has created a scorecard for his department to see a high-level overview of their performance and uses the benchmarking comparisons for staffing and long-range planning.
