Change is constant in the world
of event management. It’s likely for the
local dance studio to request additional classrooms to be used as dressing
rooms for the upcoming spring recital, for the date of family game night to
change, or even a last minute request to arrange chairs in rows of 15 for an
upcoming graduation ceremony. But how do
you make changes to an activated schedule in FSDirect?
FSDirect provides three basic
options to edit an activated schedule:
1. Change the status back to submitted.
2. Use the alternate event location/date/time feature.
3. Leverage the cancel and renew feature.
Change the status back to submitted:
An approved and activated
schedule can be changed back to the submitted status. While in the submitted status, changes can be
made such as: adding or removing rooms, updating the event time, or even
changing the location. However, if
invoices have been created, individual event dates have been canceled or
alternated to another location/date/time, or if service provider emails have been
generated, a schedule cannot be returned to the submitted status.

Use the alternate event location/date/time feature:
This feature is located down in
the “Events” section of the long form of the schedule and is a great option for
moving a few events around one-at-a-time. For example, the local community center has the gym reserved for youth basketball every Monday, Wednesday, and Friday, but one of the Friday's falls on a holiday weekend so they'd like to reschedule the one date to the end of the season.
Leverage the cancel and renew feature:
For those schedules that you
find yourself in need of making changes to multiple dates or the original
information is just so different that it may cause some confusion, this is a
great option! Canceling the original
schedule allows you to completely remove the schedule from the organization
calendar; once it’s canceled you can “renew” which essentially copies all of
the details into a new schedule form. From here you can make any necessary changes to the schedule.
