Our district relies on outside contractors to do a portions of our repair work.
It is nice to issue the work order to the contractor using schooldude as we don't need to waste time trying to get ahold of one another by phone.
I have found contractors also like this method for a number of reasons. One is that the work order has more details then would normally be given by phone. By the contractor receiving schooldude work orders via email, the contractor can get a better idea on what they need to do and or a better idea of the items they need to bring with them to the job, or any contacts numbers they may need, thereby saving time.
However I would like to point out a few negatives later in this document.
My idea is to have a selection in the "Assignment" window labeled as "Contractors/Vendors". When this option is selected, the work order assignment will then transfer over to the Contractor/Vendor window area of the work order where then the work order would be assign to the contractor/vendor selected in that window. Perhaps a new set of protocols could be used as far as routing, emailing, and even viewing the work order in the event you would like the contractor the ability to log into their own accounts.
Anyway the current negatives by setting up contractors as employees:
1. As you must currently set up contractors in schooldude as "employees" in order to enable the contractor to receive work orders via the email work order notification process. I don't care for this method for a few reasons. One is if you want to also give the contractor access to their own account, they then can now view things they don't need to be seeing.
I do like the contractor to be able to log into their own account. We both have found this very useful.
However I don't like the fact the contractor can view work orders not assigned to them using the work order search engine for example. So now if I don't trust the contractor I can't give them a user name or password to log in at this time. I must only let them receive the work order via email notification. I would rather have all my contractors the ability to log into their accounts, yet not have to worry about what they can see or do.
2. The other issue I have for contractor work order assignment is sending them the work order by email if their email address can only be used one time within the entire schooldude network. If the contractor I would like to use for schooldude is already receiving schooldude email from another school district, I can't use that contractors email address to send our schooldude work orders to them. Anyway, perhaps by using the contractor/vender section of the work order for contractor work order assignments may also open an avenue for changing routing protocol and or email restrictions.
